7-6 Tech Ltd provides managed IT, telecoms, internet, networking and cyber security services to businesses. In this policy, "we", "us" and "our" mean 7-6 Tech Ltd, a company registered in England and Wales (company number 11025295), whose registered office is 16/17 The Parkwood Centre, Aston Road, Waterlooville, Hampshire, PO7 7HT.
We are the controller of the personal data described in this policy. That means we decide why and how it is used, and we are responsible for looking after it under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Questions about this policy or your data: email [email protected], call 023 9200 6401, or write to us at the address above.
This policy covers personal data about:
When we work inside a client's systems. As part of our managed services we look after our clients' computers, accounts, email, phones and networks. The personal data held in those systems belongs to our client, and we handle it only on their instructions, as a processor under our agreement with them. If your employer is our client, their own privacy notice explains how they use your data. This policy covers what we hold about you to provide and manage that service, such as the support requests you raise with us.
Our own staff and job applicants have a separate privacy notice.
Name, job title, company, email address, phone numbers and address.
Support tickets, emails, notes of work done, remote support session logs, and details of the devices, accounts and services we support for you.
Calls to and from us are recorded. We may produce a written transcript and summary of a call, and match the caller's number to their contact record.
Messages you send us through our website live chat or WhatsApp, with the name and number your account shows, and our replies.
Orders, quotes, invoices and payment records. Direct Debit details are collected and held by our payment provider, not by us.
Your IP address, browser and device, the pages you visit and how you use them, and, where it can be worked out from your IP address, the company you visit from.
Most of this comes from you. Some comes from your employer when they are our client, from public sources such as Companies House, and from the systems we monitor and manage on our clients' behalf.
We do not ask for special category data, such as health information. If it appears in a support request or message, we only use it to deal with that request.
The law requires a lawful basis for each use. Ours are below.
| What We Do | Lawful Basis |
|---|---|
| Provide, manage and bill for our services, and answer your support requests | Contract, or our legitimate interest in serving the business you work for |
| Keep our clients' systems secure: monitoring, alerts and security investigations | Contract with our client, and legitimate interests (security) |
| Record calls, and transcribe and summarise them | Legitimate interests: accurate records, training, quality and resolving disagreements |
| Raise and fulfil orders with suppliers and distributors, such as licences and hardware | Contract |
| Keep accounts and meet tax, legal and regulatory obligations | Legal obligation |
| Measure and improve our website (analytics cookies and session recordings) | Consent, which you can withdraw at any time |
| Tell businesses about services that may help them | Legitimate interests. By email to an individual, only with your consent or where you are an existing client. You can opt out at any time. |
Where we rely on legitimate interests, we have weighed them against your rights and expectations. You can ask us for details of that assessment.
We use AI tools to help us work faster: to transcribe and summarise calls, to suggest how a support request should be categorised and who should handle it, and to answer our staff's questions about the records we hold. These tools work on our behalf under contract and are not allowed to use your data to train their models.
People at 7-6 Tech review and act on what these tools produce. We do not make decisions about you that have legal or similarly significant effects by automated means alone.
Some of our service providers store or access data outside the UK, including in the European Economic Area and the United States. Where they do, we make sure the transfer is protected by UK adequacy regulations (including the UK Extension to the EU-US Data Privacy Framework), or by the UK International Data Transfer Agreement or Addendum. Where we can choose where data is held, we choose the UK or the EU.
| Information | How Long |
|---|---|
| Contracts, invoices and financial records | 6 years after the end of the financial year they relate to |
| Support tickets, call recordings and transcripts, live chat and WhatsApp messages | While we provide services to you or your employer, then 6 years |
| Enquiries that did not lead to work | 2 years from our last contact |
| Marketing contact details | Until you opt out. We keep a short record that you opted out, so we do not contact you again. |
| Website analytics | Up to 14 months (Google Analytics) and 13 months (Microsoft Clarity) |
After these periods we delete the data or make it anonymous. We may keep it longer if the law requires it, or for a legal claim.
Security is our business. We protect personal data with access limited to the people who need it, multi-factor authentication, encryption in transit and at rest where our systems support it, monitoring, and regular backups. If a breach puts your rights at risk, we will tell you and the ICO as the law requires.
You have the right to:
To use any of these rights, contact us at [email protected]. It is free, and we will reply within one month. We may ask you to confirm who you are first.
If you are unhappy with how we have handled your data, please tell us so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
We will update this policy when the way we use personal data changes. The date at the top shows when it last changed. If a change affects you significantly, we will tell you directly.
Our services are for businesses and are not aimed at children.
